How to plan your music for a mini festival
So you’re planning a mini-festival - how exciting! Whether it’s for your corporate summer party, a holiday park weekend, or even a large-scale private event, there’s no doubt it’s a lot to plan and organise. Unlike a wedding or a gala dinner, a festival doesn’t just mean more organisation, it also means a different approach altogether. Festivals require a distinct "arc" of energy to keep your audience engaged, a variety of genres to keep a diverse crowd happy, and solid logistics that won't crack under pressure. (Because the rule is: if things can go wrong, they probably will!)
Here at DL Entertainments, we have seen firsthand how getting these elements right can turn a dusty field with a stage into an unforgettable experience. We put together this blog to help you choose the perfect lineup for your mini-festival and ensure the process is as stress-free as the event itself.
Map Out the "Festival Arc”
A common mistake we see at festivals is the organisers booking three high-energy bands back-to-back. If you start with peak energy performances at lunchtime, chances are your audience will be exhausted by 4pm! What you need is a more curated musical journey:
The Arrival (Acoustic/Chill): Start with a soloist or an acoustic duo. Think soulful vocals or a "Live Lounge" vibe. This allows your guests to arrive, grab a drink, and find their feet without having to shout over a full-on drum solo.
The Afternoon Build (Jazz/Funk/Indie): As the sun peaks (or at least the energy!), you can move into something with a bit more rhythm. A Jazz quartet or a laid-back Indie trio provides a great backdrop for food and socialising.
The Main Event (High-Energy Party Bands): This is where you want the "floor-fillers." Think 5-10 piece bands with brass sections, playing the hits everyone knows the words to.
The After-Party (DJ): Once the live music ends, a professional DJ can expertly read the remaining crowd and keep the energy high until the final song of the night.
2. Provide Variety (and Avoid "Genre Fatigue”)
In a festival setting, your audience is probably going to be a range of ages, backgrounds and lovers of different genres! If you book four Indie bands in a row, for example, you risk losing the guests who prefer Soul, Pop, or 80s Rock.
When we curate rosters for festivals, we look for versatility. We suggest acts that can expertly shift genre when it makes sense, e.g. bands that can move from 70s disco to modern R&B seamlessly. This ensures that every guest, regardless of age or taste, has "their moment" to shake their stuff in front of the stage.
3. Don’t Underestimate the “Turnaround"
Logistics are the silent killer of festival vibes - we’ve seen the good, the bad and the ugly on this point! Every time one band finishes and another starts, there is a "changeover."
The DIY Risk: If you book individual bands yourself, they may all bring different gear, leading to 45-minute silences between acts whilst one band breaks their kit down and the next one gets set up.
The DLE Solution: We provide an end-to-end production solution. Because we manage the technical sound and lighting for the entire day, we ensure every band has what they need when they need it. This means the drums and amps stay put, and the next act just plugs in and goes. This keeps the music flowing and the energy high.
4. Solve the "What If" Before it Happens
With multiple acts performing, the statistical chance of a musician falling ill or a van breaking down increases. For a festival organiser, a missing act therefore creates a massive hole in the line-up. This is where our expert-led agency model becomes your insurance policy. At DL Entertainments, we have a roster of trusted "deputy" musicians. So, if a guitarist is taken ill on the morning of your festival, we have the network to replace them with a professional who knows the set inside out and can seamlessly slot in. You get the show you paid for, with zero last-minute panic.
5. Seek the "Personal Touch" in Production
A mini-festival is a reflection of your brand or your celebration. You don't just want a generic "plug-and-play" setup, you want your guests to be talking about your event for years to come! That’s why we work closely with our clients to understand the layout of the site and the overall experience you’re trying to create for your guests. For example:
Do you need a stage that works in a marquee?
Do you need a generator because you’re in a remote field?
What kind of people will be attending your event and what are they looking for?
By handling the technical production alongside the talent, we have everything you need under one roof. You tell us the vision; we handle the power, the sound, the lights, and the talent.
Expert-Led. Stress-Free. End-to-End.
Planning a mini-festival should be exciting, not exhausting. Pattern with us and you aren't just "booking bands”- you are hiring a team of professional musicians and production experts who are as invested in your event’s success as you are.
